Admin Officer

Industry: Asset Management firm/ Financial services/ NBFC

We are seeking a proactive and detail-oriented Admin Officer to join our dynamic team in Mumbai. The ideal candidate will have a minimum of 7 years of experience in managing facility operations, housekeeping, corporate gifting, travel/ticketing, and will possess excellent communication and organizational skills. Prior experience in a corporate or financial services environment is preferred.

Key Responsibilities:

1. Facility Management

  • Oversee day-to-day facility operations including office infrastructure, maintenance, security, and vendor coordination.
  • Ensure a safe, clean, and efficient working environment.
  • Manage AMC contracts, office utilities, and service providers.

2. Housekeeping & Office Upkeep

  • Supervise housekeeping staff and ensure hygiene and cleanliness standards are maintained.
  • Conduct regular audits of pantry, washrooms, and common areas.
  • Manage pantry and stationery inventory.

3. Gifting & Procurement

  • Manage corporate gifting for clients and employees during festivals and key events.
  • Coordinate with vendors for sourcing, budgeting, and timely delivery.
  • Maintain records of all gifting and promotional inventory.

4. Travel & Ticketing

  • Handle end-to-end domestic and international travel arrangements for employees and senior leadership.
  • Coordinate visa processing, hotel bookings, ground transport, and reimbursements.
  • Maintain travel policy compliance and vendor SLAs.

5. General Administration

  • Support event planning, internal meetings, and guest handling.
  • Ensure compliance with internal admin policies and procedures.
  • Manage fixed asset records and liaise with finance for audits.

Key Requirements:

  • Minimum 7 years of relevant experience in administration, with strong exposure to facility management and support functions.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to multitask, prioritize, and manage time effectively.
  • Proficiency in MS Office Suite (Excel, Word, Outlook).
  • Experience in handling corporate gifting, travel bookings, and vendor negotiations.
  • Prior experience in an asset management, financial services, or corporate setup preferred.
